Privacy Policy

CHURCH POLICY ON PRIVACY, CONFIDENTIALITY, AND ANONYMITY

I. Purpose

The purpose of this policy is to affirm the commitment of ' The Affairs Of Christ International Ministy ' , to protecting the privacy, confidentiality, and anonymity rights of its members, attendees, and visitors (collectively referred to as "members"). This policy governs the collection, use, storage, disclosure, and protection of personal and sensitive information.

 

II. Scope

This policy applies to all church staff (paid and volunteer), ministry leaders, elected officials (e.g., elders, deacons), and all church records, communications, and electronic systems.

III. Definitions

  • Personal Information: Any information that can be used to identify an individual (e.g., name, address, phone number, email, date of birth, financial giving records).
  • Sensitive Information: Personal information of a private nature, including but not limited to, spiritual counseling notes, disciplinary matters, health information, marital status, or reasons for church withdrawal.
  • Confidentiality: The ethical duty to keep information private and to not disclose it without explicit consent or a lawful/ethical mandate.
  • Anonymity: The right of a member to participate in certain church activities, especially those involving sensitive issues (e.g., support groups, prayer requests), without their identity being disclosed.

IV. Policy Provisions

A. Collection and Use of Personal Information

  1. Consent: Personal information will only be collected when necessary for the administration of church ministries and with the implied or explicit consent of the member.
  2. Limitation of Use: Collected information will be used solely for the stated purpose for which it was gathered (e.g., directory inclusion, financial record keeping, ministry communication).
  3. Opt-Out: Members will be provided clear methods to opt-out of having their information included in church directories, mailing lists, or shared with specific ministry teams.

B. Confidentiality of Sensitive Information

  1. Clergy-Penitent Privilege: Communications with clergy and professional counselors retained by the church will be held to the highest standard of professional confidentiality and legal privilege, except where required by law (e.g., mandated reporting of abuse) or where imminent harm to self or others is suspected.
  2. Disclosure: Sensitive Information will never be shared with third parties, general staff, or other members without the express, written consent of the individual, except as noted in the limited exceptions below.
  3. Ministry Teams: Ministry teams (e.g., care, missions) who require access to some personal information to perform their duties must be explicitly informed of, and agree to, uphold this Confidentiality Policy.

C. Right to Anonymity

  1. Support Groups: Participants in church-sponsored support or recovery ministries (e.g., grief, addiction) have an absolute right to anonymity. Leaders of these groups are forbidden from disclosing the identity of participants to anyone outside the group.
  2. Prayer Requests: When prayer requests are shared publicly (e.g., during a service, in a bulletin), the church will only use the individual's first name, initials, or "anonymous member" unless the individual has given explicit permission for the full name to be used.
  3. Financial Giving: All financial contribution records are strictly confidential. Access to these records is restricted to [Specify Roles, e.g., the Financial Administrator, Senior Pastor, and Treasurer] and is protected under the strongest terms of this policy.

D. Data Security and Retention

  1. Security Measures: The church will implement reasonable physical and digital security measures to protect member data from unauthorized access, disclosure, alteration, or destruction.
  2. Data Retention: Personal and Sensitive Information will not be retained longer than necessary for its stated purpose. A process for secure disposal of old records will be maintained.

V. Policy Enforcement

  1. Training: All staff and ministry leaders with access to member data will receive mandatory annual training on this policy.
  2. Breaches: Any known or suspected breach of this policy must be immediately reported to [Specify Role, e.g., the Senior Pastor and/or Church Board Chair]. All breaches will be investigated, and appropriate disciplinary action, up to and including termination of employment or volunteer service, will be taken.
